What we see in care

The IT problems care providers face

Care providers hold sensitive information about the people they support, often with small office teams and carers working out in the community. These are the problems we see most often.

01

Shared and personal email accounts

Whole teams using one email login, or personal accounts for work, means no record of who did what and no way to remove access when someone leaves.

02

Carers working in the field

Phones and tablets used for care planning apps and email can be lost, shared or left without proper logins, putting people’s information at risk.

03

DSPT and CQC evidence

Every June the DSPT needs evidence for each technical question, and CQC inspectors ask how you keep information secure. Gaps show up at the worst time.

04

Tenders and commissioners

Local authorities and commissioners increasingly ask for your DSPT status, Cyber Essentials and answers on data security before they award or renew contracts.

We provide the evidence for

  • Who has access to systems, and how logins are protected
  • Backups, and proof they can be restored
  • Security updates on every computer
  • Protection against viruses and threats
  • Secure email and file sharing
  • Staff security awareness training

Your organisation owns

  • Paper records and how they are stored
  • Data protection policies signed off by your registered manager

  • Your data protection lead and Caldicott roles
  • Final review and publication

On our IT + Security + Compliance plan, we also help write the policies and prepare the evidence pack with you.

A council tender had a long section on IT and data security. Shailesh answered the technical questions with us and gave us the evidence to back them up.

★★★★★

We’re a small agency without an IT person. Having one engineer who understands care and explains things simply has taken a weight off.

FAQs

IT support for care providers: common questions

Can’t see your question? Call us on 020 8537 8167.

Do you provide IT support for care homes and home care agencies?

Yes. We support CQC-registered care homes, home care agencies and supported living services across North West London, Central London and Hertfordshire, with same-day onsite attendance in our core North West London area and remote support for every office and carer.

Can you complete our DSPT for us?

We provide the technical evidence: computers, logins, backups, security updates and protection against threats. The DSPT also covers paper records, staff training and how you share information to support care, which stay with you. We tell you exactly which parts are yours before you start, so nothing is missed.

When is the DSPT deadline?

The DSPT is published once a year, with the deadline at the end of June. We start gathering the technical evidence months ahead, so you are not chasing it in the final weeks.

What does CQC look for in IT and data security?

Data security sits under the Well Led key question. Inspectors want to see that you manage information securely, and a completed DSPT is the recognised way to show it. We give you documented evidence such as who has access, tested backups and up-to-date computers.

Our staff all share one email account. Can you fix that?

Yes, and it is one of the most common things we fix in care. We give every member of staff their own business email account, set up a shared inbox for the office, and forward the old address so nothing is lost while families and partners update their contacts.

Can carers use their phones for care apps and email securely?

Yes. We set up two-step login and secure access for the phones and tablets carers use for care planning apps and email, and help straight away if a device is lost.

Can you help with the IT section of a local authority tender?

Yes. Commissioners and local authorities often ask about data security, Cyber Essentials and your DSPT status. We answer the technical questions and give you the evidence to back them up.

Do you provide support outside office hours?

Standard support is Monday to Friday, 9am to 5pm, and computers are monitored around the clock. Because care runs every day of the year, guaranteed evening and weekend cover is available as an add-on.

How does switching from our current IT provider work?

We check your current notice period, take over the admin logins, set up monitoring and security, and move email and files without disrupting care. Most providers are fully onboarded within 30 days.
